Job Description

A fast-growing client-services business in the independent education sector based in Market Harborough require an experienced Team Support Administrator to provide varied additional administrative support to the head office. This role is 80% administration support.

This is a hands-on role reporting to the Executive Assistant and Office Manager but also regularly briefed by other team members such as Personal Assistant to Service Leaders, Marketing Manager and Finance Manager.

Duties and responsibilities:

Front office duties:

  • Answer the telephone and direct enquiries to the relevant team member
  • Answer the intercom and welcome visitors, providing refreshments as required

General administrative duties:

  • Office supplies - check stock, place orders and take delivery of goods
  • Maintain absence records (holidays and sickness etc)
  • Supplier liaison - report faults, arrange visits etc.
  • Travel - assist with booking of rail travel, taxis, hotels and flights
  • Documents - format, proofread, collate and bind reports, proposals and presentations
  • Schedule meetings - arrange face to face meetings, book venues and liaise with participants. Book teleconferences.
  • Update personnel information - telephone lists, addresses, mailing labels, etc
  • Office filing and cataloguing
  • Dictation and minute taking

Finance administration:

  • Assist Finance Manager with online bank payments
  • Assist Finance Manager with ad hoc projects as required
  • Pay in cheques to bank

Marketing administration:

  • Client database - essential contact and project updates
  • Internal communications - to help with internal updates on the intranet site, such as uploading documents to share with the team and client project updates
  • Event support - to help with the busy schedule of conferences and events; liaising with events logistics, collating collateral, assisting with team briefs and updating post-event leads
  • Order processing - preparing invoices, updating order logs and dispatching publications
  • Assist with mailshots
  • Maintain and update company website and intranet as and when required

Skills and experience required:

  • Experienced Administrator
  • Ability to communicate confidently and effectively with clients and consultants
  • Intermediate to Advanced IT skills with all Microsoft software packages
  • The ability to write well and with grammatical accuracy
  • Respect for confidentiality and integrity
  • Strong organisational skills including proven ability to prioritise and work to deadlines
  • Ability to work on own initiative and as part of a team
  • Resilient and able to work in an organisation that is undergoing change due to rapid growth
  • Driver with access to own vehicle

Salary:

  • £21,500 per annum
  • Monday to Friday 9.00am - 5.00pm 1-hour lunch (35 hours)
  • Free parking
