Job Description

We're proud to be recruiting a talented Personal Assistant on behalf of a leading client-services consultancy. This is an exciting opportunity to join a forward-thinking business which is extremely well-respected in its specialist sector on a local, national and international scale.

The successful applicant will deliver seamless administrative support directly to the CEO and Managing Director, whilst performing a range of clerical duties across the business, and providing effective and supportive line management to the Team Administrator.

Duties and responsibilities:

  • Skilfully coordinating and managing diaries
  • Making all required travel arrangements
  • Arranging events and meetings (and taking minutes where required)
  • Producing professional documentation and correspondence
  • Monitoring emails on behalf of the CEO; sending replies and issuing reminders where appropriate
  • Providing friendly and efficient frontline assistance to clients and colleagues, routing enquiries to the relevant point of contact
  • Arranging maintenance and managing the leasing of company cars
  • Adding information to the CRM system on behalf of the CEO

In addition to the duties above, you will also have responsibility for a range of other administrative matters, including (but not limited to) the following:

  • Organising general office maintenance and repairs, testing of electrical equipment and safety devices
  • Ensuring adherence to Health & Safety regulations, informing staff and visitors are kept informed of policies and procedures and trained where required
  • Arranging and renewing all company insurance policies; business, healthcare, car and travel
  • Setting up and monitoring selected office contracts such as waste management, cleaning and stationery supply
  • Managing the Team Administrator
  • Working with the Finance Manager to track expenditure against budgets
  • Assisting with HR and recruitment administration as required


Skills and experience required:

  • Accomplished executive-level Personal Assistant, with extensive proven experience
  • Professional and engaging communication style, with the ability to liaise confidently and effectively with clients and colleagues
  • Second-to-none organisational skills, adept in the prioritisation of tasks and working to deadlines
  • Confident in the use of computers and the MS Office software suite, whilst able to guide and support those who are less IT-proficient
  • Evidence of producing professional documents and correspondence to a consistently high standard, with excellent grammatical accuracy
  • Demonstrates respect for confidentiality and integrity
  • Works with a positive, team-focused approach
  • Recognises the importance of attention to detail and accuracy

Hours of work:

  • Monday to Friday 9.00am - 5.30pm
