Job Description

A superb opportunity has arisen for an experienced Receptionist / Administrator to join an established and successful company based in Leicester. You will be based in the HR department of this professional organisation where you will be meeting and greeting visitors and answering the telephone. Other responsibilities will include administrative support to the HR Manager. Full training will be given.

Duties and responsibilities:

  • Answer switchboard, greeting all incoming calls in a professional and courteous manner, using the database to identify the correct destination for the call
  • Greet visitors to the office in a polite and professional manner
  • Manage meeting room bookings - take minutes
  • Order stationery and miscellaneous goods
  • Act as contact person for building maintenance
  • Provide support to other senior staff as and when required including organising and arrange for the purchase of train tickets, flights and hotels for staff business travel
  • Undertake other administrative tasks as required from time to time
  • To develop and maintain administrative systems and procedures to provide support for HR activity and projects which may include arranging meetings, collating and circulating papers, preparing statistical reports, entering data on IT systems and following up action points
  • Arrange and coordinate training sessions (webinars, conferences, etc.) and monitor CPD, referring to Line Managers when staff fall behind
  • Ensure staff records are well maintained and that periodic tidying up of records is undertaken
  • Manage and coordinate responses to enquiries via Recruitment email inbox

Skills and experience required:

  • Minimum of 1-year experience working as a Receptionist / Administrator
  • Strong administration skills
  • Adaptable
  • Good attention to detail
  • PC literate in Microsoft Office (particularly Excel Basic to Intermediate and Word) as well as being proficient in other systems
  • Excellent verbal and written communication skills
  • Ability to multi-task
  • Highly organised
  • Well presented


  • Monday to Friday (Flexitime) 9.00am - 5.00pm with 1hour for lunch (35 hours per week)
  • 22 days annual holiday + 8 Bank holidays
