Job Description

We are currently representing a fantastic company who have an excellent opportunity for an experienced Receptionist to join their team. You will act as the first point of contact for visitors to the building, and you will work as part of a team delivering friendly and professional customer service. The working hours will be full time based on a shift pattern to cover the hours of 8am to 6pm.

This is a great opportunity to join a forward thinking and a fast-paced business. For the right candidate, this position will be a temporary to permanent role after an initial 12 week period. Due to the urgency and nature of the role, candidates must be immediately available.

Duties and Responsibilities

  • Maintain an administration support service, ensuring processes are streamlined and efficient
  • Lead and coordinate the management of reception ensuring sufficient cover at all times - holidays/ absence/ sickness
  • Create and maintain systems and records, ensuring these are accurate and up to date
  • Manage meeting room bookings, resolving conflict when it arises
  • Sort all incoming post and prepare outgoing post - franking and special deliveries
  • Manage and distribute written communications to the business
  • Maintain stock levels for general consumables and office stationery
  • Manage telephony services relating to inbound and outbound communications
  • Direct, develop, motivate and support all direct reports ensuring that Reception is managed efficiently and effectively
  • Maintain the local contact directory, keeping it up to date for changes in personnel
  • Ensure that the fire alarms and evacuation tests are completed and report correctly
  • Update the Net2 badge system with visitor and employees with the relevant access rights
  • Handovers with the security guard on arrival/ finish
  • Order cleaning supplies for the cleaners weekly
  • Some administrative duties

Skills and experience required:

  • Must have experience of working in a busy reception and operating supporting systems and telephone
  • Excellent communication skills with a professional manner
  • Previous experience of administration work
  • Ability to work well as part of a team with a motivational attitude
  • Ability to suggest and make improvements confidently
  • Knowledge of Microsoft Office including Excel, Word and PowerPoint
  • Knowledge of preparation and typing of reports and letters
  • Experience of documentation preparation for meetings, etc
  • Experience of inbox management - emails
  • Experience of maintaining filing systems


  • Monday to Friday - shift patterns to cover 8am - 6pm - 37.5 hours per week

Salary and benefits:

  • £18,000 - £19,000 dependent on experience
