    We’re delighted to be supporting a busy local organisation with the recruitment of a Temporary Democratic Services Administrator.

    This is an interesting and varied opportunity, and the successful candidate will provide valuable clerical support to the Democratic Services Team, as well as arranging, attending and documenting regular meetings.

    Please note that this is a temporary assignment, and due to the urgent requirements of the business, applicants must be available to start in August.

     

    Duties and responsibilities:

    • Supporting colleagues with advice and briefings, and responding to queries in a timely and professional manner.
    • Ensuring that proper clerical support is provided at all decision-making meetings, including ensuring that they are conducted in accordance with internal Standing Orders and legislation.
    • Presenting reports when required, to enable full consideration of issues.
    • Providing administrativesupport to member training and development.
    • Liaising with and deputising for the Senior Democratic Officer and Team Leader including attendance at meetings as may be required.
    • Assisting in the co-ordination and preparation of reports for meetings, liaising with report authors to ensure that agenda are despatched in accordance with statutory deadlines.
    • Arranging and attending meetings as may be directed, taking comprehensive notes of the meeting, resolutions and producting draft minutes within agreed timescales.
    • Circulating draft minutes for agreement and subsequent publication within agreed timescales.
    • Assisting the maintenance and development of online pages for Democratic Services including uploading agendas, reports, minutes and audio recordings.
    • Helping the Legal & Democratic Administrative Assistant with civic events and providing executive clerical support.
    • Ensuring compliance with all policies and statutory requirements and guidance in relation to Equality and Diversity, Equal Opportunities, Health and Safety, Safeguarding and Communication and involvement policies.

     

    Skills and experience required:

    • Extensive administration experience
    • Maths and English Language GCSE grade C or above (or equivalent)
    • Ability to form good working relationships, especially with those at a senior level
    • Able to set and prioritise own objectives and workload
    • Confidence working under pressure and to tight deadlines
    • Competent in Word, Excel and Outlook
    • Speak confidently to groups
    • Quickly understands and interprets complex issues
    • Able to take accurate minutes
    • Understands the importance of GDPR and the maintenance of confidentiality

     

    Hours of work:

    • 3 days per week (any three days between Monday – Thursday)
    • Attending approx. 3 evening meetings per month, 6.30pm – 9.30pm

     

    Salary and benefits:

    • £11.00 – £14.00 per hour
